When the phone interrupts the work

Busy on the job.
Busy with messages afterwards.

Enquiries arrive while you are working. Details are missing, photographs sit in separate messages and the next reply waits until you get home.

Where the cost builds up

  1. Every missing detail means another follow-up.You spend time finding out where the job is, what is needed and when someone is available.
  2. Requests are harder to keep track of.Messages across different channels make it difficult to see what needs attention.
  3. Administration moves into your evening. You piece together the request and draft another reply after the working day.
Built around your working day

A clearer request.
A better starting point.

An AI-assisted enquiry workflow can collect agreed job information, identify missing details and prepare a useful summary and draft response. Channel integrations and notifications are selected for the tools your business uses.

  • Capture what matters.Guide customers through relevant questions and photograph collection where useful.
  • Organise the information.Separate supplied facts from unanswered questions, ready for a decision.
  • Keep you in control. You review the reply and authorise prices, availability and job acceptance.

Illustrative interface — tailored to your organisation.

  1. Step 1 of 5 · Customer enquiry

    A request arrives

    Customer’s supplied message

“Our external door is damaged. We are in Aberdeen and can share photographs.”

The starting point is a customer’s own description.

  2. Step 2 of 5 · AI-assisted information collection

    Ask the useful questions

    Agreed information requirements

Collect the location, relevant photographs and a suitable time for a visit.

The workflow follows agreed questions; photographs do not establish a technical diagnosis.

  3. Step 3 of 5 · Organised summary

    See the request clearly

    Ready for business review

Door repair enquiry · Aberdeen. Photographs available. Site details and availability still needed.

Provided facts and missing information stay separate.

  4. Step 4 of 5 · Business approval

    Review the draft response

    Human decision

“Thank you for getting in touch. Please share the site details, photographs and suitable times for an initial visit.”

The owner checks the facts and approves any commitments.

  5. Step 5 of 5 · Professional response

    Send the approved reply

    Approved business response

The customer receives the response authorised by the business.

No binding price, diagnosis or job acceptance is invented.

Before

An incomplete message, several follow-ups and another response to draft at the end of the day.

With a considered workflow

An organised request and prepared response, with the decisions and customer relationship still yours.

Your working week. Your assumptions.

How much of your week goes into enquiries?

Compare current handling time with an assumed workflow. Explore the time that could be used for productive work or personal time before considering any financial equivalent.

Include information capture, checking and approval in your assumed time. No email needed. Values stay on this page unless you choose to include them in an enquiry. This is a scenario, not a promise of savings.

Adjust the assumptions, then calculate your scenario.

How this is calculated

Hours per week = people × tasks per person per week × (current minutes − assumed minutes) ÷ 60. Capacity value = those hours × your hourly assumption. Time freed is not automatically cash saved; implementation, usage and support costs are excluded.

A focused first implementation

Begin with the enquiries
you already receive.

We assess how customers contact you, the details you need and the decisions you must control. Start with a focused workflow, then consider additional channels or integrations.

Pricing is bespoke. Integrations, usage, hosting, support and ongoing responsibilities are identified in the proposal. No fixed product subscription or automatic infrastructure responsibility is implied.

Useful answers

Useful to know
before we begin.

Will AI issue prices or accept jobs automatically?

Prices, job acceptance and other commitments remain under the appropriate business authorisation. We agree the approval rules and approved information before implementation.

Can photographs replace a site visit?

Photographs can provide context. They must not be treated as conclusive measurements or diagnoses. The workflow should ask for clarification or a site visit where appropriate.

Can this work with our existing tools?

We assess the communication channels and systems you use. Available integrations, account permissions and service costs are agreed for your project.

How is customer information protected?

We agree the information required, provider arrangements, access, retention and handling responsibilities. Only the details needed for the enquiry workflow should be collected.

What happens if information is missing or unreliable?

The workflow should identify gaps and route them to a person or ask an approved clarification question. It should not fill in facts, availability or prices.

Is the example a live AI service?

The example on this page is an interactive illustration using fictional information. A working implementation is individually scoped for your business.
